How should I proceed, if I want to change my accountant and transfer my accounting to the company VELOX, s.r.o.?

The process of changing an accountant seems at the first sight complicated, but we can effectively help you with this change. How to register a company as a VAT payer?

By registrating a company as a VAT payer, there are two options. The first option is the case, which concerns the so-called obligatory (legal) registration on VAT. Each company, which in the last 12 months exceeded the turnover of € 49790, is obliged to request a registration on VAT. After the review of documents and the justification of the assigned turnover, the tax authorities grants an IČ DPH (identification number of the VAT).

The second option is to request the tax authorities a voluntary registration on VAT. This concerns companies that did not receive the legally requested turnover. Our company can help you in both cases. At first, we prepare you all necessary accounting configurations and, consequently, at a personal consultation, we will exactly and in detail explain you, what the tax authorities would be interested in. We provide also a possibility of representing in front of the tax authorities, whereby you delegate all powers to us and we will arrange everything, including the visit of the tax authorities and submitting documents, on your behalf. How to arrange electronic communication with the tax authorities?

Each VAT payer is obliged to communicate with the tax authorities exclusively by electronic means. It means that whatever you want to deliver or present the tax authorities, you are obliged to send it electronically. If it is a large pack of documents, you have to electronically submit at least information about the fact that these documents are going to be delivered to the tax authorities personally. A matter of course is submitting tax returns and control sheets to the VAT, which can also be submitted only electronically.

But how to arrange electronic communication? It is sufficient to tell us and we will arrange electronic communication as soon as possible. We will register you, through the website of Financial Administration, into the system, we will prepare you the background papers for signature and explain you, how and where to sign these papers. In fact, it is sufficient to personally visit the tax authorities once (locally the respective Tax Office) and sign the documents prepared by us. Then, we will communicate every other thing on your behalf.

How to quickly and correctly submit an invoice? What to do if I need stock records?

We meet this question nearly on a daily basis. Submitting an invoice seems, at first sight, easy, but only to the moment you in fact start submitting that invoice. Gradually, you are going to find out, that there are a lot of things that need to be paid attention at by submitting an invoice.

Pursuant to our knowledge about the client and his activity, we pre-set maximum standardly filled fields on the invoice and the client only fills out the remaining fields. In the current era of constant rise of the amount of entrepreneurs and corporate subjects, nearly each new entrepreneur or company faces a problem of the choice of a proper, respectively appropriate accountant. We know from experience, that choosing only on the basis of the offered prices is absolutely inadequate and it is necessary to weigh a lot more factors than only price. How to choose a proper accountant then? What kind of abilities, characteristics should he have and what should he know and provide for? And how to determine, what, in fact, the fact that someone claims to us, is true, if we alone are not able to judge these claims?

Firstly, we recommend to ask your acquaintances, as you apparently trust your acquaintances and can rely on their references. If they are content with their accountant, they will certainly recommend him to you. If you do not have any recommendations or references from your acquaintances, it is good to find out information about the education and especially, about the praxis of the accountant. If the accounting is going to be administered by an accounting company, it is necessary to find out, who particularly will administer exactly your documents and conduct your accounting procedures. A matter of course is cooperation on the basis of a contract on delivering services, where it should be clearly defined, what particularly the accounting company will provide for, what it guarantees for and it what way it guarantees that, how and under what circumstances the contract can be cancelled and, certainly, the height of the reward for the provided services. Further, try to find out, if the accountant orientates himself in the basic issues concerning your business, if he educates himself, if he e.g. bring your attention to the changes in legislation etc. An important factor is, also, if the accounting company has arranged liability insurance for damages caused by its activity and if yes, then to what amount.

You find out the real abilities of an accountant or accounting company only over time, when he starts to process your documents and bookkeeping, you start to communicate with him, deliver him documents, the accountant starts to send statements of account, reports, reviews, tax returns, etc. on behalf of the company. The ideal state is when an accountant ensures completely all communication with every institution by electronic means. It is also adequate when an accountant provides, besides basic information about what, when and where to pay, also further information - outputs from bookkeeping, which he of course explains to you, that you are able to adequately read them and on their basis, properly decide in your business. An accountant should be able to advice you also regarding creation of contracts (at least the basis), should b able to provide common tax advisorry, should be able to propose an effective system of the operation of some processes at your company etc.

In fact, the thing is that you need not even know about the accounting. If you do not receive any fines or warnings from diverse agencies, if potential audits and other controls go well, if you receive on-time and exact information from your accountant, then everything should be going very well. Why can everybody conduct accounting procedures in the Slovak Republic?

The current legislation in the Slovak Republic enables providing accounting services to whomever. Conducting accounting, or conducting bookkeeping is thus a free business, by which no education has to be certified. Pursuit of such business is not conditional on expert capability, so nor a secondary special educiation is required. It means that if, in fact, whoever requires the Trade Register to grant such licence, then this licence will be granted and he could be able to provide accounting services.

In the past, there were changes requested by diverse organisations dealing with accounting, tax advisorry and audits, especially in relation to conditioning of the assignment of this licence by expertise, i.e. by presenting a certification about eductaion, but unfortunately, the pressure of the society was higher and the proposed changes were not applied into the legislation. It is a big risk mainly because of the fact that by the choice of an accountant it can happen to you that you blunder on a person without education and practice, and this person can cause you huge troubles. Therefore, you shoul be very cautious by choosing an accountant, resp. accounting company, you should choose with judgement and verifiy all available information before starting a cooperation, resp. before signing the contract.
